TERMS & CONDITIONS
We very much look forward to welcoming you to Ty-Mawr Cottages. Please be aware, like any purchase, when you make a booking you are entering into a binding agreement with us. We have tried to keep the content of the terms and conditions as simple as possible.
Please note that the terms and conditions are relevant at the time of writing. They will potentially change but they are accurate at the time of any bookings made. For example, the methods of payments taken are what are available and will change when further methods are active.
Making a Booking
Our website has an online booking system. It is therefore possible to book at any time. However, please note that all online bookings are subject to confirmation from us. Alternatively, you can call us on 01873 770300 and book in person. The booking can then be confirmed over the phone but is still subject to any payments as detailed below. When acknowledgement mails are sent, can you please make sure you reply with any special requests or arrangements that you may require prior to your arrival. When booking, there are optional extras within the booking form to indicate any pets (dogs) staying, fishing permits required or high chairs or cots required. Some are subject to additional fees (see Optional Extras below).
Deposit & Balance
When you make a booking online, you will receive a confirmation mail to let you know we have received your request. During the booking you may choose to pay the deposit (via the payment methods available) in which case, a subsequent acknowledgement mail will be sent to you. If you do not pay a deposit at the time of booking, the booking will remain provisional until the deposit is paid. The deposit will be 25% of the total balance and must be paid within 7 days of the booking or depending on demand we may be forced to release the dates. The balance should be paid at least 8 weeks before the start of the holiday. We reserve the right to cancel the booking if full balance has not been received by this date. If the booking is made within 8 weeks of the proposed arrival date then the balance is to be paid in full.
Currently, we offer 2 methods of payment when booking online. PayPal (www.paypal.com/uk) and debit/credit card payment via a 3rd party called Holiday Rental Payment (www.holidayrentpayment.co.uk). Both are secure. Please visit the respective sites for details about the safety of paying via them. Both the deposit and/or outstanding balance can be paid via these methods. Holiday Rental Payments also offers the facility to take the remaining balance from the same card when it is due.
Naturally, cash on arrival is an option but the full amount must be payable on arrival and by prior agreement. If cash is the preferred method then a cheque for the deposit will still be required. Please contact us for details of how and who to pay by cheque by sending an email to email@example.com
Within the booking process, we have tried to provide a way for you to indicate any immediate extras that you require. The following are included:
Dogs: Up to 2 dogs can be accommodated in Workshop cottage. The charge is £10 per dog.
Fishing Permits: 3 types of permits are available depending on how much fishing you intend to do. Details are on the website but there is a 1 week (£200), 4 day (£140) and 3 day (£100) option available. Please choose the appropriate on during the booking process.
Cot: If you have an infant in your party and you require a cot, please indicate this as an optional extra. There is no charge for the use of a cot. However, you must supply your own cot bedding.
High Chair: Again, available on request at no extra charge.
Bed linen & Towels
Bed linen and bath/kitchen towels are provided and included in the price of the holiday. Please note that we can supply a travel cot on request as well as a highchair free of charge, but we do not supply cot bed linen/towels.
Dogs are welcome in just 1 of our cottages (Workshop), we just need to know at the time you make your cottage booking (see Optional Extras below). We expect that they will be well behaved and house trained! Please keep them off the soft furnishings and we would prefer them to not enter the bedrooms. Please do not leave them unattended in the property and make an extra effort to clean up all dog hairs before leaving. Please exercise your dog away from the cottages and collect any dog waste for appropriate disposal. You must also provide your own bedding for your pet as well as food bowls and food.
Please note that this is a working sheep farm! And dogs must be kept well away from livestock. The walls and gates surrounding your property should be fairly secure but not necessarily dog-proof.
Visitors are requested not to exceed the maximum number of people for which we supply beds/bed linen. We reserve the right to refuse or cancel any booking that in our opinion may be unsuitable for the cottage concerned. Please make sure that the accommodation you book meets your requirements. The current acceptable parties for both cottages are 4 people with a potential infant up to the age of 3.
Please note that the definition of the infant is one that is to occupy a travel cot.
Both cottages and any communal areas at Ty-Mawr Farm are non-smoking. If you wish to smoke outside, please be aware of people in the surrounding cottages/farm. Please also dispose of any matches and cigarette butts in one of the dustbins provided.
Cancellation & Insurance
Once you have booked your holiday, our agreement is a legally binding contract and your deposit is non-refundable. If for whatever reason you cannot make your holiday and the booking cannot be re-let, you are still liable to pay for the booking in full, even if we have not yet received your balance. If we do succeed in re-letting the booking, you are no longer liable for the balance, or we will refund it to you if you have already paid it. The deposit, however, is not refundable under any circumstances. For this reason we strongly recommend that you take out cancellation insurance, which is inexpensive and can be obtained from any good broker.
Non-Availability of Accommodation
We would only cancel your holiday if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation - however if this was not possible, or unacceptable to you, then we would refund all monies paid by you for the holiday. Our liability would not extend beyond this refund.
Your accommodation will be available to you from 3.30pm on the day of arrival, unless otherwise arranged. If you arrive earlier, we may still be preparing your cottage so please ring ahead first. We will do our best to be on site to greet you personally, but in the event that we are not at home when you arrive, you will be able to let yourself into your cottage. We will come and find you to say hello on our return.
Please be ready to leave the accommodation by 10.30am on the day of departure, unless otherwise arranged. We ask that you leave the cottage, as far as possible, in the condition that you found it. We reserve the right to make a charge if the cottage is left in an excessively dirty condition. Your right to occupy the property is limited to a right of occupation for holiday purposes and such right shall terminate at 10.30am on the scheduled date of the completion of the holiday.
Damages & Breakages
Please take care of our property. We have put a lot of effort into making your stay a memorable one. You are responsible and liable for any breakages or damages that you cause to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but we reserve the right to charge you for repair or making good if the damage or breakage is significant.
Please let us know about any problem with any appliance or fixture or fitting as soon as possible and we will ensure that, within a reasonable time, this is repaired or alternative arrangements are made.
Visitors are asked to take care at all times while on our property. This is a working farm and there could occasionally be machinery moving on or off the farm. Parents in particular are asked to ensure that children are safe, accompanied by a responsible adult and not left unattended and as much as possible stay within the walled boundaries of your cottage. We do not accept responsibility or liability for injury or damage to and loss of guests property, cars and contents and you agree to indemnify and hold us harmless from and against all actions, claims, costs and proceedings (including reasonable legal fees incurred in defending the same) arising from your acts or omissions (and those in your party) while on our property. In the event of guest misbehaviour or other necessary cause, we reserve the right to terminate the let without any refund of letting monies.
We reserve the right to enter any property at a reasonable time for the purpose of emergency maintenance or repair or any other need.
We want your stay with us to be enjoyable. Nevertheless, should you have cause for complaint, please advise us immediately, and we will do our best to assist you. It is difficult to investigate complaints of any nature once you have returned home, and, therefore, it is unlikely that complaints can be accepted and investigated at the end of the hiring period or after you have departed.
Any data collected during the course of this booking may be kept but will not be shared with any other party.
